RFP
Parts:
1. Statement of Purpose: Eg: we are setting up a computer system for an university of 30 thousands. We want compatibility from windows 7 to touch screens. We want wifi and easy data exchange. - this will filter out radio companies and companies that can do the job will remain.
2. Background Information: Eg: We are building a school building. High school, pre school or madrasa building? -This will give the supplier an understanding about the nature of the work. What sort of building they need. We need to focus on our segmentation and customer satisfactionso that my supplier understand that I focus on customer satisfaction and they can work accordingly.
3. Scope of the Work: Exactly what I want to do. Specially if there are sub contractor. Because all the involved parties were not present. Here we have to mention EXACTLY what I want.
4. Outcome and Performance Standards: What should be accomplished. Basic minimums. How I would monitor suppliers. What actions needed to be taken if things arent working out. Eg: It has to work 90% of the time. In case of malfunction, I need technicians coming to fix it within 12 hours.
5. List of Deliverables: Everything that I expect to receive. An Inventory list. Eg: No of bricks, all the things that will be delivered. 5 rooms, 16 desks, 100 seats etc. This is a Check List which will be checked after delivery. Delivery dates: This portion should be finished by this date. That portion should be delivered by this date.
6. Terms and Conditions: Legal stuff. Eg: Work begins on this date and ends on this date. The so and so company will work on my plot from this date till this date. So that both parties have an understanding.
7. Payments, Incentives and Penalties: How will we pay: One big check or many instalments. Incentives: Their incentive to work better or faster. Penalties: If not delivered by this date what will happen? We take off 15% of payment, we bring in someone else or what?
8. Contractual Terms and Conditions: Legal things. Eg: I want this standard OSHA/AISC/IOS etc.
9. Requirements for Proposal Presentation: What do I want them to give me. To give guideline as to how to present the proposal so that company A B C gives proposal that are of same format so that I can better judge which company to pick. Comparing apples to apples is easy contrary to compare apples to oranges. How many pages, what should be focused on, what type of formatting, how many slides, how my minutes of presentation etc.
10. Evaluation and Award Process: How I would judge who wins the bid. When will the winner be announced. When I am making the final decision.
11. The Process Schedule: Step by step timeline. Of everything.
12. Contacts: Provide contacts. Who to sent the documents to? Who to ask if there are questions? Who will judge or be in the selection process?

I disagree with the overall premise of this video. By following these tips, you are putting yourself in a position of weakness with the vendors.
Buyers cannot be experts in all commodities. A novice attempting to establish standards and missing the mark becomes more of a negative. You may be leaving things on the table you could have gotten, you might be creating an unfair bidding situation, etc.
